This Privacy Policy explains what information Satpuda Core Private Limited (“Satpuda Core”, “we”, “us”) collects, why we collect it, how we keep it safe, and the choices you have. It applies to our website satpudacore.in, our SatpudaCore software (including SatpudaCore Medical Management, Satpuda Core Health and their Android apps), and the custom development services we provide.

In short: we collect only what we need to reply to you and to run the software you use. Your data is kept secure, is used only to provide our services to you, and is never sold, rented or traded to anyone.

1. Information we collect

a. When you contact us

When you fill in the enquiry form on our website, we collect your name, phone number, city or district, the service you need, your project requirements, and — if you choose to give them — your email address, budget range and timeline. If you contact us by WhatsApp, phone or email, we receive the details you share in that conversation.

b. When you use SatpudaCore software

  • Offline mode: you work on your own computer, and billing does not need the internet.
  • Cloud backup: when your computer connects to the internet for a few minutes, a backup copy of your data is saved securely to Satpuda Core's company Google Drive. It lets us restore your data if your computer fails or is replaced. We use it only to keep your data safe and to restore it for you.
  • Online mode: to let you use the software from more than one device (for example your PC and your Android phone or tablet), the data you enter is stored securely on our servers so that it stays in sync across your devices. This can include your business details, stock and inventory records, purchase and sales entries, invoices, and details of your customers or patients (such as names, phone numbers and visit or billing records) that you choose to enter.
  • Licence and support details: your business name, owner or contact name, phone number, and the details we need to install, activate and support your licence.

c. When you browse our website

Our website does not use advertising or analytics cookies, and we do not track you across other websites. Like all websites, our hosting provider automatically processes basic technical information (such as your IP address, browser type and the pages you request) to deliver the site and protect it from abuse. Your light/dark theme choice is saved only in your own browser and is never sent to us.

2. How we use your information

  • To reply to your enquiry and prepare quotes.
  • To provide, sync and back up your data in online mode, so you can use the software on multiple devices.
  • To install, activate, update and support the software, and to carry out data migrations you request.
  • To send invoices and meet our legal, tax and accounting obligations.
  • To keep our services secure and prevent misuse.

We do not use your data for advertising, and we do not sell, rent or trade your personal data or your business data to anyone.

3. Your business data belongs to you

All business records you enter into SatpudaCore software — including your customer and patient records — remain yours. We access them only when it is needed to provide the service, when you ask us for support or a migration, or when we are required to do so by law.

If you are a medical store, clinic or hospital, you decide what customer or patient information is recorded in the software, and you are responsible for having the right to record it. We process that information only on your behalf and only to provide the software to you.

4. When we share information

We share information only with the service providers we need to run our business, and only as much as they need:

  • Hosting and cloud providers that run our website and the servers used for online mode.
  • FormSubmit (formsubmit.co), which delivers messages from our website enquiry form to our email inbox.
  • Google – Google Drive, where software backups are stored, and Gmail for email.
  • WhatsApp, if you choose to message us there.
  • GitHub, which hosts our software installer downloads.

We may also disclose information if required by law, a court order or a government authority. We never sell your information.

5. How we keep your data secure

We use reasonable technical and organisational safeguards to protect your data, including secured connections between your devices and our servers, password-protected accounts, and access limited to the Satpuda Core team members who need it to support you. No method of storage or transmission over the internet is completely secure, but we work to protect your data and will inform you and the relevant authorities as required by law if a breach affects your data.

6. How long we keep data

  • Enquiries: kept for as long as needed to respond to you and keep a record of our business communication.
  • Online mode data: kept for as long as you use the software. If you stop using online mode, you can ask us to export your data and to delete it from our servers.
  • Invoices and billing records: kept for the period required by Indian tax and company law.

7. Your rights

Under the Digital Personal Data Protection Act, 2023 and other applicable Indian law, you can ask us to:

  • tell you what personal data we hold about you;
  • correct or update inaccurate data;
  • delete your data, where we are not required by law to keep it;
  • withdraw consent you have given us; and
  • address a complaint about how we have handled your data.

To make a request, contact us using the details below. We will respond within a reasonable time and as required by law.

8. Children

Our website and software are meant for businesses and are not directed at children under 18. We do not knowingly collect personal data from children through our website.

9. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page with the “Last updated” date at the top.
